Order entry

For shipments that need to be loaded from Monday 28-12-2020, transport orders can only be issued digitally. In order to do this, you can request a login code from our ICT-department via Diese E-Mail-Adresse ist vor Spambots geschützt! Zur Anzeige muss JavaScript eingeschaltet sein!.

Via HSForders.nl you will be directed to our order entry website where you can enter the orders online. After approval, the orders automatically enter our computer system, after which they are scheduled for transport.

It is advisable to have as much information as possible at hand when entering the first orders: Name and address details, EORI numbers, HS Codes, etc. . In addition, it is important that you fill in all information correctly, as you remain responsible for the correct shipment information. Over time, our system “remembers” the address details of your relations (address book) so that you can enter them more quickly.

Departure from mainland Europe to the United Kingdom and (Northern-) Ireland:

If you choose to submit your customs declaration yourself (whether or not via a customs-broker), then we need the approved customs exportdocuments from you.

Once you have been assigned an MRN number by customs, you must enter it in the relevant shipment in our order entry system. From that moment on, your shipment has a “green light” with us to start loading and leave the European Union.

This only applies to shipments to the UK. From 01-04-2021 we also need the veterinary certificate if your products are of animal origin. You can easily “upload” these documents via our order entry website.

If you submit the export request to the UK with a customs-broker linked to our system (see Brexit page “Direct representation”),  you will also need a sales invoice (with packing list) in addition to the “normal” shipment details. From 01-10-2021 we also need the veterinary certificate if your products are of animal origin. You can easily “upload” these documents via our order entry website. With this information we can request an MRN number for you. We automatically receive the MRN number in our system, so you don’t need to enter it yourself.

For transports to (Northern-) Ireland you must prepare a T2 transit document. You must enter this document number with the relevant shipment into our order entry system before we will come to load the shipment. We can prepare a T2 document for you (at additional costs; see Brexit page “Documents”), however we can only take care of this for shipments leaving from HSF Logistics Nijmegen with destination (Northern-) Ireland.

If you submit the export request to (Northern-) Ireland with a customs-broker linked to our system (see Brexit page “Direct representation”),  we will arrange your T2 document. We automatically receive the T2 document number in our system, so you don’t need to enter it yourself.

To date, it is not yet clear whether goods with departure from or destination (Northern-) Ireland require a (veterinary) certificate from 01-10-2021. It is best to contact your local Food Authority in order to keep up with developments in this area.

Departure from the UK and (Northern-) Ireland:

If you want to transport goods NOT of animal origin from the UK to the EU, you must enter the T1 document number of the shipment (see Brexit page “Documents”) into our order entry website. In addition, you must “upload” the sales invoice (with packing list) via our order entry website.

If the goods DO have animal origin, you must also “upload” the veterinary certificate via our order entry website. These actions must be done before loading, so that the shipment is ready for loading when we arrive to collect it from your address or external loading address.

If you want to transport a shipment from (Northern-) Ireland to the European mainland, you must enter the T2 document number of the shipment into our order entry website.

Note: At this moment it is uncertain whether a veterinary certificate is required for transports between (Northern-) Ireland and mainland Europe!

If you find that it is too laborious to place multiple orders per day via an order entry website, an EDI connection between your computer system and that of HSF Logistics might be a solution.
